What the numbers include, and what they don't

GST. Every price in the calculator is the provider's listed price before tax. Microsoft and Google list Australian-dollar prices excluding GST and show the GST-inclusive amount at checkout where it applies. OpenAI, Anthropic, Notion, Zapier and Make list prices in US dollars before tax, and may add GST for Australian customers depending on your circumstances. Tick the GST box for a GST-inclusive estimate, and ask your accountant how GST credits apply to your business.

US dollars. Tools that bill in US dollars are converted at the exchange rate you enter. We've pre-filled A$1 = US$0.70, close to the Reserve Bank of Australia's published rate of 0.7002 on 14 October 2026 (RBA exchange rates). Your bank or card may use a different rate and add a foreign transaction fee.

Suites, not just AI. The Microsoft 365 and Google Workspace prices are for the whole plan, including email, storage and office apps. If you already pay for one of these, your extra cost is the difference between your current plan and the one you'd move to, not the full amount.

Promotions. Google shows introductory discounts for new customers and Microsoft notes a Copilot discount offer running until 31 December 2026 for the first year. We've used the standard listed prices, so check what you're actually offered at checkout.

Automation tools (Zapier and Make) are priced per account and by usage (tasks or credits), not per person. Heavier use moves you to a higher tier.

Left out on purpose: Microsoft 365 Copilot bought as an add-on to an existing plan (we couldn't read a confirmed Australian price on Microsoft's page), Make's monthly-billing prices, and Google Workspace Business Plus on the flexible plan. We only include prices we could confirm on the provider's own site.

Higher-usage seats also exist: ChatGPT Business and Claude Team both list Premium seats at US$125 per seat/month billed monthly, or US$100 billed annually. They're not in the calculator because most small teams start on standard seats.

Using the answer

How to read the break-even line

The break-even line divides the monthly cost in Australian dollars by your hourly rate. The result is how many hours the tools need to give back each month, across the whole team, before they've paid for themselves. It then spreads that across your team as minutes per person per week.

It's arithmetic, not a forecast. Whether a tool saves that time depends on which jobs you use it for and whether people actually use it. Most small teams are better off starting with one assistant, set up properly for a few repetitive jobs, than paying for several tools at once.

Want help choosing? Our ChatGPT vs Claude vs Copilot vs Gemini comparison explains who each one suits. Or, if you'd like a plan written for your business, with named tools, real costs and the order to set them up, the AI Audit is A$399, delivered within 72 hours from an online form, with no meetings.

Questions

Common questions

Do these prices include GST?

No. Every price here is the provider's listed price before tax. Microsoft and Google show Australian-dollar prices excluding GST and add it at checkout where it applies. OpenAI, Anthropic, Notion, Zapier and Make list US-dollar prices before tax and may add GST for Australian customers. Tick the GST box to see a GST-inclusive estimate, and ask your accountant how GST credits apply to you.

Why are some prices in US dollars?

Because that's how those providers list them. The calculator converts at the exchange rate you enter. We've pre-filled A$1 = US$0.70, close to the Reserve Bank of Australia's published rate on 14 October 2026. Your bank or card may use a different rate and add a foreign transaction fee.

How is the break-even line worked out?

It divides the monthly cost in Australian dollars by the hourly rate you enter. The answer is how many hours of work the tools need to save each month, across the team, to pay for themselves. It's arithmetic, not a prediction of what you'll save.

Is Gemini or Copilot extra if I already pay for Google Workspace or Microsoft 365?

On Google Workspace's current Business plans, Gemini features are included in the plan price. Microsoft says Microsoft 365 Copilot Chat is available at no additional cost with an eligible Microsoft 365 subscription, and the full Copilot in Word, Excel, PowerPoint, Outlook and Teams comes with the 'with Copilot' plans listed here. If you already pay for one of these suites, your extra cost is the difference between your current plan and the one you'd move to.

Does the calculator send my numbers anywhere?

No. The sums run in your browser, and the calculator makes no network calls of its own.

Which tools should a small business start with?

Usually one AI assistant, set up properly for a few repetitive jobs, before anything else. Add automation tools such as Zapier or Make only when there's a specific job to connect between apps. If you'd like a plan written for your business, with named tools and costs, that's what our AI Audit does.
