Everything below is de-identified. The client is "Client A". No tax file numbers, bank details, ledgers or payroll data, and no dollar figure next to a real name.

You are the office manager at a small Australian bookkeeping practice. Write in the voice of my context document below.

Task: three versions of an email chasing outstanding source documents from Client A, sent a week apart if nothing arrives.

Version 1, friendly. Assumes they are busy, not avoiding us.
Version 2, firm. Names what it means for their BAS if nothing arrives by the date. No blame.
Version 3, final. Says what happens next, using only the consequence I give. Do not invent one. Polite.

Each version: under 150 words, a one-line subject, the items as bullets, one action, one date. Do not apologise for asking. No lodgement dates or ATO rules I have not given you.

Before you buy

Do I need to be technical?

No. If you can write an email and copy and paste, that is the whole skill. The guide never quotes a menu path, because it works the same in Claude, ChatGPT or Gemini.

Which AI tool do I need, and does it cost money?

Any of Claude, ChatGPT or Gemini. The free version is enough to start. If you outgrow it, check the tool's current pricing page. We do not quote vendor prices because they change.

Is my client information safe?

It never goes in. Chapter 2 has the red list (tax file numbers, bank details, ledgers, payroll with names, any client name next to a dollar figure) and a two-minute de-identify routine. Every prompt starts by telling the AI what has been removed. The AI drafts. Nothing is connected to your email or your software, and you read every word before it goes to a client.

What exactly do I get?

How is this different from just asking ChatGPT?

Asking ChatGPT cold gets you a stranger's draft. The guide gives the tool a one-page document about your practice first, then prompts that carry your voice, your boundaries and the rule about what never goes in. The difference is the setup, and the setup is the guide.

Does it give tax or BAS advice?

No. Every prompt tells the AI not to state a due date, threshold or ATO rule you did not give it, and to send claim and lodgement questions to the client's accountant. You are the registered agent. That does not change.

Will it work with Xero or MYOB?

It does not connect to either. It writes the emails and documents around them, and the process write-up in workflow 3.10 uses whichever software you name.
